Privacy Notice

1. Information we collect

• Account information: name, email address, phone number, and your role (for example, client, family member, or vendor).
• Celebration details: event names, dates, venues, schedules, traditions and ceremony preferences, budgets, payments you record, vendor choices, and planning notes.
• Information about other people that you provide: guest lists, family and wedding-party contacts, dietary needs, seating, and vendor contacts.
• Files, links, and messages: documents, images, and links you share, and messages and comments you send in the Portal.
• Electronic signature records: your typed legal name, drawn signature image, consent choices, the date and time of signing, IP address, and device/browser information, kept as part of the signed agreement’s audit trail.
• Technical information: log data such as IP address, browser type, pages viewed, and timestamps, and cookies needed to keep you signed in and secure.

2. How we use information

• to plan, coordinate, and run your events, and to share the right details with your team, family, and vendors;
• to operate, secure, and improve the Portal, including preventing unauthorized access;
• to send you service messages such as reminders, updates, and signature requests (and text messages only if you opt in);
• to create, sign, store, and prove agreements and other records;
• to comply with legal obligations and enforce our agreements.

With your permission and subject to your opt-out rights in your agreement, we may use photos of our work (décor, design, and event moments) in our portfolio and marketing.

3. How we share information

We share personal information only as needed:

• with Aura Events team members and contractors working on your celebration;
• with the vendors, venues, and family members involved in your celebration — each sees only what their role requires;
• with service providers that host and run the Portal for us, such as authentication, hosting, database and file storage, and email and text-message delivery providers, under obligations to protect it;
• when required by law, to protect rights and safety, or in connection with a sale or reorganization of our business.

We do not sell personal information and do not share it for cross-context behavioral advertising.

4. Guest and family information

When you add guests, family members, or other people to the Portal, please make sure you are allowed to share their information with us for your celebration. We use it only to plan and run your events.

5. How long we keep information

We keep celebration information for as long as needed to provide our services and for a reasonable period afterward for records, keepsakes, and legal purposes. Signed agreements and their audit trails are kept for as long as needed to prove the agreement and meet legal requirements. Retention period: [to be confirmed].

6. Security

We use reasonable safeguards, including role-based access, private file storage with short-lived download links, encrypted connections, and audit logs. No system is perfectly secure, so please keep your login private and tell us right away if you suspect a problem.

7. Your choices and rights

• Access and correction: ask us for a copy of your information or to correct it.
• Deletion: ask us to delete your information, subject to records we must keep (such as signed agreements).
• Notifications: change your email and text-message preferences in the Portal.
• Marketing photos: opt out of portfolio use of your celebration at any time by emailing us.
• Paper records: request paper copies of electronic records or withdraw consent to electronic records, as described in the signing disclosure.

Depending on where you live, you may have additional privacy rights, including the right to appeal a decision about your request. To make a request, email auraeventsus@gmail.com. We will verify your identity before acting on a request and will not discriminate against you for exercising your rights.

8. Children

The Portal is not directed to children under 13, and only adults may hold accounts. A client may include information about children (for example, on a guest list or in family details) for planning purposes, and we use it only for that purpose.

9. Changes to this notice

We may update this notice from time to time. We will post the updated version here with a new effective date and, for material changes, let clients know through the Portal or by email.
